Commercial Events Coordinator
Location: Home-based with regular office days in Thanet
Contract: Permanent

About the Role
We are seeking an experienced and commercially minded Commercial Events Coordinator to take full ownership of our exhibition and sponsorship programmes across international events. This is a key, client-facing role, responsible for managing existing sponsor relationships, driving new business opportunities, and ensuring high quality delivery of commercial activity at both in-person and virtual events.
You will work closely with internal teams, senior stakeholders, and clients, combining strategic thinking with hands-on delivery and excellent relationship management.
The Commercial Events Coordinator will report directly to the Events Manager.
Key Responsibilities
Sponsorship & Commercial Management
Oversee all sponsorship and exhibition activity, ensuring a coordinated and consistent approach across the organisation
Manage and develop a CRM system, tracking leads, contacts, communications, and revenue
Act as the main point of contact for exhibitors and sponsors, building and maintaining strong long-term relationships
Source and secure new exhibitors and sponsors through research, outreach, and market intelligence
Research comparable events, companies, and market trends to identify new partnership opportunities
Negotiate and confirm sponsorship and exhibition agreements in collaboration with the Board of Directors
Reporting & Performance Tracking
Provide regular sponsorship pipeline, conversion, and revenue updates to senior management and the Board of Directors
Maintain accurate and accessible CRM and revenue data for reporting and marketing purposes
Present progress updates, metrics, and recommendations to support commercial growth
Sponsorship Coordination
Manage all exhibition and sponsorship activity onsite at events
Distribute event prospectus and advise sponsors on packages and benefits
Produce and process sponsorship and exhibition applications via the online registration platform
Work with the Accounts team to ensure accurate and timely invoicing
Track package benefits and deliverables, ensuring all commitments are fulfilled
Produce and distribute delegate lists for sponsors and exhibitors
Create and maintain sponsorship webpages and ensure sponsor branding is up to date
Exhibitor Logistics & Onsite Management
Manage exhibitor booth allocation and logistical requirements
Coordinate shipping, AV, and furniture needs with exhibitors
Oversee onsite exhibitor and sponsor activity, including build and breakdown of booth space
Act as the main onsite point of contact for exhibitors and sponsors
Create and distribute exhibitor information packs
Communications & Event App
Maintain exhibition and sponsorship web pages and marketing content
Work with the Communications team on digital and printed materials
Provide up-to-date sponsor content for communications and mailshots
Collate exhibitor and sponsor content for the event app
Populate sponsor and exhibitor information within the event app and support users
Event Attendance & Feedback
Attend international events as required, using in-person time to strengthen sponsor relationships
Create and analyse exhibitor and sponsor feedback surveys
Explore and develop ways to demonstrate sponsor ROI in collaboration with Communications
Required Skills
Strong commercial awareness with proven sponsorship sales or event account management experience
Clear and detailed written communicator
Excellent relationship building and stakeholder management skills
Excellent team communicator
Confident working with senior stakeholders and Board members
Strong organisational skills with the ability to manage multiple projects and deadlines
Proficiency in CRM systems, Microsoft Office 365, and event management platforms

Events Assistant
Location: Home-based with regular office days in Thanet
Contract: Maternity Cover
Hours: Full Time
About the Role
We are looking for a highly organised and proactive Events Assistant to support the Operations Lead in the successful delivery of international events. This is a varied and hands‑on role, ideal for someone with a strong administrative background who enjoys working across event operations, registrations, systems, and team coordination.
The role plays a key part in ensuring events run smoothly from initial registration set‑up through to post‑event archiving and feedback, with plenty of opportunity to develop experience across all aspects of event delivery.
Key Responsibilities
Event Registrations & Delegate Management
Support the set‑up and management of online event registrations and associated webpages
Respond to registration queries and manage day‑to‑day attendee communications
Process group registrations and track early bird registrations, escalating issues where needed
Monitor and record registrations and changes
Issue and process visa and invitation letters as required
Support the production of name badges for conferences
Create and issue documentation via DocuSign
Provide general event administration support as required
Email Inbox Management
Management of multiple inboxes, ensuring timely and professional communication
Event App
Support the creation and delivery of the event app
Assist with timelines, data uploads, and attendee/user management within the app
Archive & Content Management
Collate, prepare, and upload event content to the archive
Maintain spreadsheets and ensure consistent naming conventions
Feedback & Reporting
Create attendee feedback surveys for events
Collate survey results and share insights with the wider team
Finance Support
Support in the production and distribution of invoices and receipts
Provide cover for accounts activities when required
Team Collaboration
Provide cover and support to other Events Team members as needed
Participate in team and office meetings, providing updates on key activities
Support the wider team across event preparation and delivery
Required Skills
Highly organised, detail‑oriented, and comfortable juggling multiple tasks
Confident communicating with a professional and friendly approach (written email and on-line Teams meetings)
Proactive, flexible, and willing to support across different areas of the team
Comfortable working with spreadsheets, systems, and online platforms
A strong team player who can also work independently
Previous experience in events, administration, or association management would be advantageous, but we also welcome applicants eager to develop their skills in a fast‑paced events environment.
